Job Summary

The Administrative Assistant provides essential support to ensure the smooth operation of the office or department. This role involves managing communications, organizing schedules, maintaining records, and assisting with various administrative tasks. The ideal candidate will be detail-oriented, proactive, and capable of handling multiple responsibilities efficiently.

RESPONSIBILITIES

  • Office Administration:
    • Answer and direct phone calls, emails, and other inquiries. 
    • Greet visitors and clients, ensuring a professional and welcoming environment.
    • Manage incoming and outgoing mail, packages, and deliveries.
    • Maintain and order office supplies to ensure availability.
  • Scheduling and Coordination:
    • Manage calendars, schedule meetings, and coordinate appointments
    • Prepare agendas, take meeting minutes, and distribute them as needed.
    • Assist in coordinating travel arrangements and preparing itineraries.
    • Organize company events, workshops, or conferences.
  • Document Management:
    • Prepare, edit, and format letters, reports, presentations, and other documents.
    • Maintain digital and physical filing systems for easy access and retrieval.
    • Ensure confidentiality of sensitive information and documents.
  • Communication and Support:
    • Act as a point of contact between staff, clients, and volunteers.
    • Assist with onboarding new employees and coordinating office procedures.
    • Support various departments with administrative tasks as needed.
    • Handle basic bookkeeping tasks, such as processing invoices, vouchers and purchase orders.
